Certificate management for security and SIA training providers
Security training is one of the few sectors where the expiry is real. An SIA licence lasts three years and then it stops, and the learner cannot work until it is renewed.
Train Aid Solutions handles the certificate and record side of an approved centre: register, mark, issue, and remind the learner before the licence they depend on runs out.
What makes security training different
Under the Private Security Industry Act 2001, working in a licensable role without a valid SIA licence is an offence. Licences run for three years and renewal requires the current top-up or refresher qualification. Your learner has a hard date, and missing it means they cannot work. A reminder that lands in good time is not a courtesy; it is what keeps them employed and keeps them coming back to you.
Door supervisor, security guarding and CCTV qualifications are regulated and delivered through approved centres. That brings external quality assurance: sampled assessments, learner records, attendance evidence and delivery logs, produced on request. A centre that cannot lay hands on a register from fourteen months ago has a problem at the next visit.
Minimum contact hours are a condition of the qualification, and centres are expected to evidence that every learner was present for them. Records need to show who attended, when, and for how long, in a form that survives scrutiny.
Security staff move between employers and contracts more than almost any other workforce. A new employer, a site manager or an agency needs to confirm what a candidate holds and when it lapses. If that means a call to your office, you have inherited an ongoing admin job.
A door supervisor course runs for several days with a full room, several rooms a month. Producing certificates and records by hand for that throughput is an evening's work that repeats every week.
How Train Aid Solutions fits
Attendance is recorded per session, per learner, on one screen. Completed or Failed, scored against your own criteria, with notes an external quality assurer can read.
Your branding, the specific qualification, issue and expiry dates, and a unique QR code. Sent from your own domain.
Learners get a branded reminder before their qualification lapses, timed how you choose. The refresher is booked with you rather than with whoever ranks first on the day they remember.
Anyone scanning the code confirms the certificate is genuine without contacting you. It also stops an altered PDF being passed off as yours.
Outcome scores, session documents and a learning-outcomes summary sit against every course date, alongside a log of every certificate and reminder sent. When the awarding organisation asks what a cohort received last spring, the answer takes a minute.
Certificates and reminders arrive looking like they came from you, which matters when the recipient is forwarding them to an employer.
What it does not do
It does not issue SIA licences and it does not replace your awarding organisation's registration and certification systems. It is not a booking or scheduling system. It covers the register, the certificate you issue and the records behind them, not the licensing process itself.
If your problem is the certificates, the expiry dates and the record-keeping, this is built for exactly that.
Getting started
Create your account, upload your logo, take your first register. Minutes, not weeks.
If you are moving from spreadsheets or another system, we will import your already-delivered courses free of charge and without using any seats, so renewal reminders start from your existing learners rather than from today.
Every plan includes every feature. Plans differ only in the learner seats you get each month.
