Run a session on the day - register, marking, and the one-button finish.
Head to the registration page and create your account with your business name and email - it's free and you'll land straight on your Dashboard. Then pick your plan on the Billing page: every plan includes every feature, and the only difference is how many learner seats you get each month. Pay by card, or request an invoice if your organisation prefers purchase orders.
A "seat" is used each time you allocate learner capacity to a course date. Cancel a date and any unused seats return to your monthly allowance.
Go to Settings & Branding in the sidebar. The Branding section is your logo and brand colours - applied automatically to every certificate, email, and self-registration page your learners see. The Settings section holds everything else, and only needs setting up once.
Under Courses, click New course and give it a title, description, and an expiry period (e.g. 12 or 36 months) - this is what drives automatic renewal reminders later. A course is a template: you'll schedule one or more dated sessions against it.
If you run accredited training, this is also where you can add a booking URL pointing back to your own sales site, since Train Aid Solutions doesn't sell course places for you - it manages everything that happens after someone books.
On the course page you can also build its assessment rubric (competence elements, each with an optional learning-outcome reference number) and its feedback questions. Questions can be free text or a 5-star scale with a comment, grouped into sections with their own intro - reorder them with the arrows, and use Apply to all courses to reuse the same set everywhere in one click.
Visit Certificates to create a certificate profile - choose one of the visual templates, and (if relevant) add an approving body name, logo, registration number, lead instructor name/title and signature, and a compliance statement. Attach the profile to your course from the course's settings page.
Prefer your own design? Upload a full-page A4 certificate background (PNG or JPEG) and we'll print the recipient name, course, date, signature, and QR code on top of it instead of using a built-in template - just leave the centre clear and light where the text sits.
You can reuse one certificate profile across multiple courses, or use Apply to all to roll a style out to every course in one click.
Open your course and click Schedule a session. Set the date, location, and capacity - the number of seats you want to draw from your balance for this date. Those seats are reserved immediately, so your remaining balance always reflects what's actually still available to allocate.
Choose a registration mode for the session:
On the session's register page, add learners one at a time with their name and email, or use Bulk import to upload a CSV for a whole group at once - download the sample file to see the expected columns. If a self-registration QR code is enabled, you can also download or display it for learners to scan on the day.
Tick "Historical learner — skip registration, feedback and certificate emails" when adding or bulk-importing past attendees. They'll still get certificates and future renewal reminders, but nothing is emailed retroactively - every suppressed email is recorded in that learner's email log so you can prove nothing went out.
At the start, take a roll call: tick Present next to each learner as you call the register - a live "X of Y present" count keeps track. This works the same for learners you added manually and those who self-registered by scanning the QR code, so everyone lands on one register.
During or after the session, mark each learner Completed or Failed, score them against your course's assessment rubric, and add instructor notes. Marking a learner Completed or Failed automatically sends them a feedback request - once per learner, the first time their status becomes final.
Learners submit feedback through a one-time link in their email - no account needed. Once feedback is in, anyone marked Completed is automatically emailed their certificate (PDF, with a scannable QR verification code), and shown links to leave a Google or Facebook review if you've added them in Branding.
Submitting feedback is required before a certificate is sent, even for learners who failed - this keeps every attendee in the loop and gives you a feedback record for every course you run. The form shows your branding and whatever questions you set up, grouped into sections with star ratings and comment boxes.
See it all come together under Feedback in the sidebar: a dashboard of star averages per course, drillable down to each question and every individual comment.
Based on the course's expiry period, Train Aid Solutions automatically emails learners a branded reminder as their certificate approaches expiry, with a link back to your booking page. This runs daily in the background - there's nothing to schedule yourself, and it applies to historical imports too, since that's often the whole reason to add them.
Visit Billing to see your plan, this month's seat usage, and your payment history. Every plan includes every feature - the only difference is the monthly seat allowance, and unused seats don't roll over. Getting close to your allowance? Switch to a bigger plan in a couple of clicks. Pay monthly by card, or annually by card or invoice (purchase orders welcome) with 25% off. If your industry body has given you a discount code, enter it at checkout.
Any seats not yet used by a registration are returned to your balance automatically. Seats already used by registered learners stay allocated.
Yes - every certificate has a QR code and verification code that opens a public verification page confirming it's genuine, with no account needed.
Yes - add them under Instructors. They can take registers and mark outcomes on their assigned sessions, but can't manage billing, branding, or courses.
