Certificate management for mental health first aid training providers

Mental health first aid is a young sector with old problems. The refresher cycle is real, the buyer is usually an employer, and the certificate is what proves the money was spent.

Train Aid Solutions handles the paperwork side: register, mark, issue, and remind the learner before their refresher is due.

What makes mental health first aid different

The refresher is expected, not enforced.

Mental Health First Aid England recommends a refresher course every three years to keep skills current, and most workplace programmes have adopted that as their standard. There is no regulator to enforce it, which means the reminder is the only thing that brings the learner back. Miss it and the employer quietly lets the role lapse.

The buyer and the learner are different people.

An HR or wellbeing lead books the course for a group of staff, and it is that person who needs the certificates on file, needs to know who is still current, and needs to report on it internally. Certificates that go straight to the learner and nowhere else leave the buyer chasing.

Employers count their first aiders.

Wellbeing programmes often set a ratio of mental health first aiders to staff, mirroring physical first aid. When people leave, the ratio slips and the employer needs to know. A provider who can show a client at a glance who is trained and who is due keeps that client.

Awareness and first aid are different courses.

A half-day awareness session, a one-day champion course and the two-day first aider qualification carry different content and different expectations. A record that says only "mental health training" does not tell an employer what their staff actually hold.

Volume comes in cohorts.

Instructors typically deliver to groups of twelve to sixteen from one organisation at a time, several cohorts a month. Producing individually named certificates for every cohort by hand is the part that eats evenings.

How Train Aid Solutions fits

01
Registers for a room of sixteen.

Attendance, Completed or Failed, notes, from one screen. Associate instructors do this without touching your admin settings.

02
Certificates issued in seconds.

Your branding, the specific course, issue and refresher dates, and a unique QR code. Emails send from your own domain.

03
Three-year refresher reminders.

Learners get a branded reminder before their refresher is due, timed how you choose. The refresher gets booked with you rather than lapsing quietly.

04
Verification the employer can use.

Anyone scanning the code confirms the certificate is genuine without contacting you. It also stops an altered PDF circulating with your name on it.

05
Records the buyer can rely on.

Outcome scores, session documents and a learning-outcomes summary sit against every course date, alongside a log of every certificate and reminder sent. When a wellbeing lead asks who from their organisation is trained and when each is due, that is a search rather than a spreadsheet.

06
Emails from your own domain.

Certificates arrive looking like they came from you, which matters when the recipient is an HR team filing them.

What it does not do

It is not an e-learning platform and it does not host course content. It is not a booking system, and it does not replace the accreditation and instructor registration you hold with your training body. It covers the register, the certificate and the record.

If your problem is the certificates, the refresher dates and the record-keeping, this is built for exactly that.

Getting started

Create your account, upload your logo, take your first register. Minutes, not weeks.

If you are moving from spreadsheets or another system, we will import your already-delivered courses free of charge and without using any seats, so refresher reminders start from your existing learners rather than from today.

Every plan includes every feature. Plans differ only in the learner seats you get each month.
