Certificate management for health and social care training providers

Care providers get inspected, and when they do, training records are one of the first things asked for. That makes your certificates part of your client's inspection evidence, and it makes how quickly you can produce them a genuine commercial advantage.

Train Aid Solutions handles the register, the outcome, the certificate and the refresher reminder.

What makes care training different

Your certificate is your client's inspection evidence.

When CQC asks a care home to evidence that staff are trained and competent, the home produces certificates. If yours are hard to find, hard to verify or missing an expiry date, that friction lands on your client during an inspection. Providers remember who made that easy.

Staff turnover in care is high.

Care homes and domiciliary agencies recruit continuously, which means induction training runs constantly and the same client books the same courses month after month. Your record of who has been trained is often more complete than theirs.

Agency and bank staff arrive with certificates from elsewhere.

A manager staffing a shift at short notice needs to confirm the agency worker's moving and handling training is current. A scannable certificate answers that; a phone call to a training provider at nine on a Sunday evening does not.

Refresher intervals are short and vary by course.

Moving and handling of people is commonly annual because of the risk level. Medication administration is typically annual to three-yearly. Safeguarding commonly runs two to three years. Basic life support is often annual. The Care Certificate itself does not expire, because it is a set of standards rather than a qualification. Holding those different validity periods correctly is the job.

Oliver McGowan training is now expected.

The Oliver McGowan Mandatory Training on Learning Disability and Autism has become a standard part of care sector training expectations, and providers delivering it need clean delivery records like any other course.

Competence, not just attendance.

Care inspectors care whether staff can do the thing, not whether they sat in the room. Recording an outcome and a score against defined criteria is materially better evidence than a signed attendance sheet.

How Train Aid Solutions fits

01
Outcome scores against your own criteria.

Your instructor marks each learner Completed or Failed and scores them against the outcomes you have defined, with notes. That is competence evidence, not attendance evidence.

02
Automatic refresher reminders per course.

Annual for moving and handling, whatever interval you set for medication or safeguarding. Learners and their managers get a branded prompt before it lapses, so the home stays compliant and the rebooking comes to you.

03
QR-verified certificates.

A registered manager, an agency coordinator or an inspector confirms a certificate is genuine by scanning it. No call to your office.

04
Records against every course date.

Session documents, outcome scores, a generated learning-outcomes summary, and a log of every email sent on your behalf. When a client asks you to re-evidence a training session from two years ago during an inspection, you can.

05
Certificates from your own domain.

They arrive in the home's compliance inbox looking like they came from you.

06
Feedback collected automatically.

Every learner gets a feedback request and a review prompt as soon as they are on the register, which builds the social proof care buyers look for.

What it does not do

It does not deliver e-learning and does not run a learner portal. It is not a care management or rota system, and it does not integrate with care planning software. It is not a booking system. It manages the training paperwork: registers, outcomes, certificates, expiry and records.

Getting started

Create your account, brand your portal, take your first register. Minutes rather than weeks.

Existing training history imports free of charge and without using seats, so a home you trained six months ago starts generating annual refresher reminders on schedule.

Every plan includes every feature. Plans differ only in the monthly learner seats you use.
